New Berlin Library Board Meeting Minutes
November 29th, 2023

Call to Order:
Darla Smith calls the meeting to order at 6:01pm.
Jill Robinson makes a motion to approve minutes from the September board meeting, seconded by Abigail Magrath. Motion carries 4-0. Donna Wells abstained.
Abilgail Magrath makes a motion to approve October and November bills, seconded by Jill Robinson. Motion carries 5-0.
Treasurer’s Report:
Profit & Loss and Balance sheets through November 29, 2023 is passed to Board members. Donna Wells advised the board that the tax cap paperwork has been submitted.
2024 Proposed Budget handed our and discussed. Increases in wages and Quickbooks cost discussed.
Darla Smith made the motion to approved the expense of Quickbooks up to $2000. Seconded by Abigail Magrath. Motion carries 5-0.
Darla Smith makes a motion to accept the treasury reports including, seconded by Abilgail Magrath. Motion carries 5-0.
Darla Smith made the motion to approved the proposed 2024 budget. Seconded by Donna Wells. Motion carries 5-0
Director’s Report:
Michelle updates the Board on the Freewill Donation Holiday Rummage Fundraiser.
Michelle also updates the Board about the Holiday Party which will take place December 16 at 2pm. A dulcimer player is being sponsored by the New Berlin Art Forum. Photos with Santa will be done in the old kitchen in front of the fireplace. Photo printer and supplied were purchased with a Walmart Community Grant.
Michelle informed the board that the Village has hired a company to do lead paint abatement and priming of the library and the village office in the spring.
Michelle updates the Board that the Christmas Party will take place December 16th at 2pm and will feature a live dulcimer player, Eileen Rose. Eileen Rose’s performance fee of $300 will be sponsored by the New Berlin Art Forum.
Holiday Close dates will be December 23, 25, and 26. And January 1 for New Years.
Organizational meeting will be held December 27 at 6pm.
Board Nominees are Abigail Magrath and Alan Fairbrother. Election will take place December 4-22.
The Following grants have been submitted or are in process: Stewarts Holiday match grant submitted. Requesting $1000; Walmart Community Grant is paying for photo printer and supplies; and Summer Reading Grant to fund another summer art session. Its due date is 1/5/24.
New Patron Code of Conduct discussed. Donna Wells made the motion to approved the new Patron Code of Conduct Policy budget. Seconded by Jill Robinson. Motion carries 6-0
Michelle updates the Board regarding the need for a Solar Panel maintenance call and received board approval by consensus to call the solar company to schedule a maintenance.
New Business:
Discussion on possible saving initiatives to alleviate a portion of the fund balance withdrawal.
