New Berlin\nLibrary Minutes for January 29th<\/sup> 2020 Organizational Meeting<\/strong><\/p>\n\n\n\n

Darla Smith\ncalls the meeting to order at 6:17pm.  <\/p>\n\n\n\n

Current\nbills due are passed around to each trustee. \nLynn LaValley makes a motion to approve all December and January bills\nthat are available, seconded by Donna Wells motion passes 5-0.<\/p>\n\n\n\n

Donna Wells\nmakes a motion to approve minutes from October\u2019s Special Meeting and January\u2019s\nOrganizational meeting seconded by Lynn LaValley motion passes 5-0.<\/p>\n\n\n\n

Treasurer\u2019s\nReport:<\/strong><\/p>\n\n\n\n

Donna Wells\nhanded out the Profit and Loss Sheets for January through December of 2019 as\nwell as the Balance Sheet as of December 31st<\/sup> 2019.  Donna Wells explained the interest\ncorrections on the Balance Sheet related to all current bank statements now\nbeing available.  Donna Wells updated the\nBoard to one of the Cooperstown CDs coming due this February 5th<\/sup> and\ninformed the Board that this money will then be put into NBT Bank in New Berlin\nSavings account related to saving on the interest rate.  Board in agreement with this as well.  <\/p>\n\n\n\n

Jill\nRobinson asked Donna if the interest made off of the Wells Fargo Bond is enough\nto offset the annual fee they charge. \nDonna Wells explained the background on how the library came to own the\nWells Fargo Bond and is looking to close this at a future date, but that taking\nthe money out at this time would lose money. \nDonna also states that the interest made is more than the annual fee so\nuntil the Wells Fargo bond matures it would be best to keep the money invested\nin the bond.<\/p>\n\n\n\n

 Jill Robinson makes a motion to accept the\nTreasurer\u2019s Report seconded by Lynn LaValley motion passes 5-0.<\/p>\n\n\n\n

Director\u2019s\nReport:<\/strong><\/p>\n\n\n\n

Michelle\nPriola handed out Conflict of Interest Forms to all available trustees to sign\nand collected them once completed and signed.<\/p>\n\n\n\n

Michelle\nasked the Board what they think about having a free raffle of the 2 older\nkindles for library patrons to participate in once they are refurbished and\nmemory cleared.  Angelica Schmidt made a\nmotion to have a free raffle to patrons of the 2 older kindles once they are\nrefurbished and cleared, seconded by Darla Smith.  Motion passes 5-0.<\/p>\n\n\n\n

Michelle\nupdated the Board on the progress of the upcoming Perkins Performance and some\nof the performers that have been booked so far.<\/p>\n\n\n\n

Michelle\nexplained the back doorbell requiring repair and Donna Wells advised that\nelectrician Jimmy Roche please assess the situation to see what is required for\nrepair.  Remaining Board in agreement.<\/p>\n\n\n\n

Michelle\nupdated the Board on medical leave situations for library staff.<\/p>\n\n\n\n

Michelle\nmentioned the possibility that the Library Easter Egg Hunt may occur on Friday\nof the weekend before Easter Sunday weekend related to logistics of needing to\norganize both events.  More information\nto come.<\/p>\n\n\n\n

Michelle\nstated that May 9th<\/sup> will be the Spring Tea and that she may ask\nGeorge Anderson if he would like to be the guest performer again this year. The\nevent may again occur upstairs instead of in the basement as that worked out\nwell last year.<\/p>\n\n\n\n

Michelle\nasked the Board if they would like to do the Mother\u2019s Day Basket raffle again\nthis year and each possibly contribute an item to the basket.  Donna Wells agreed that this would be\nsomething she was interested in participating in this year.  Other Board members did not express disagreement.  Michelle will email details of deadlines for\ncontributing to this year\u2019s basket once a theme is in place.<\/p>\n\n\n\n

Michelle\nreviewed the summary breakdown of the Library Annual Report that is sent in\nevery year.  Numbers for the library have\noverall increased from the previous year.<\/p>\n\n\n\n

Donna Wells\ninquired about the siding\/rot issue needing repair on the library and Michelle\nupdated the Board on the Village getting 6 people to look at the area that\nneeded repair with only one estimate given.   \nMichelle will be looking into applying for the NY State Construction\nGrant sometime in June and the Village as well will look into getting further\nestimates after June 1st<\/sup>.<\/p>\n\n\n\n

Donna Wells\nmade a motion to close the meeting at 6:46pm seconded by Lynn LaValley motion\npasses 5-0.<\/p>\n\n\n\n
